Rental information
What to know before renting
Our vehicles are offered on flexible monthly rentals. The information below explains the general process, payments and responsibilities before you apply.
The exact terms for your vehicle, insurance arrangement and intended use will be confirmed before you sign the rental agreement.
How monthly rental works
Vehicles are rented in monthly periods. The minimum rental period and monthly price are displayed with each vehicle.
Continuing beyond the initial rental period is subject to approval, vehicle availability and payment of the next rental period.
The rental does not automatically become a lease, finance agreement or ownership arrangement.
- Minimum rental period
- One month.
- Monthly renewal
- Each rental is a fixed term of one month. It ends on the last day of the term unless we agree an extension with you beforehand. It does not renew automatically.
- Notice before extending
- At least 24 hours before the end of your current term. Extensions depend on the vehicle being available and are not guaranteed, so tell us as early as you can if you expect to keep the car.
- Notice before returning
- None needed, and no charge for telling us. The vehicle is due back at the end of your one-month term unless an extension has been agreed. Returning it late is charged at £50.
What is included
- Use of the selected vehicle during the agreed rental period
- Road tax
- Routine servicing arranged by the rental company
- Breakdown cover
- The monthly mileage allowance displayed with the vehicle
- Insurance arrangement
- Self-drive hire cover is provided under our fleet insurance policy, subject to driver eligibility and insurer approval. Renters may separately buy optional excess reimbursement cover from an independent provider, which is their own arrangement.
Fuel, parking, tolls, fines and charges resulting from the renter's use of the vehicle are not included.
What you pay before collection
Before collection, an approved renter must pay:
- The first month's rental
- The refundable security deposit shown for the vehicle
- Any other agreed amount clearly stated before the rental agreement is signed
Do not send any payment until your application has been reviewed and the rental arrangement has been confirmed.
- Accepted payment methods
- Bank transfer and cash. Cash payments are receipted.
Refundable security deposit
A refundable security deposit of at least £1,000 is required. The exact deposit for each vehicle is displayed with the vehicle and confirmed before the rental agreement is signed.
The deposit is separate from the monthly rental price and separate from any applicable insurance excess.
The deposit may be used toward amounts due under the rental agreement, including:
- Vehicle damage
- Missing items
- Excess mileage
- Fuel or charging differences
- Cleaning beyond reasonable use
- Fines, tolls and parking charges
- Late return
- Administration and cancellation fees
- Other unpaid amounts permitted by the rental agreement
Your deposit may be used toward any amount you owe us under the rental agreement. That includes vehicle damage, missing items, excess mileage, fuel differences, cleaning beyond reasonable use, fines, tolls and parking charges, late return, and any administration or cancellation fee. We itemise anything we deduct in writing and return the balance to you.
The deposit may be held after the vehicle is returned while outstanding charges, damage and notices are checked.
- Deposit review period
- Up to 30 days from the end of the rental, once the vehicle has been inspected and any charges settled.
Insurance and excess
The insurance arrangement will depend on the vehicle, driver and intended use.
Before the rental agreement is signed, the renter will be told:
- Who is responsible for arranging insurance
- Which drivers are approved
- The permitted vehicle use
- The applicable insurance excess
- Any insurer conditions or restrictions
The insurance excess is separate from the refundable security deposit.
The vehicle must not be driven until the required insurance arrangement is active and has been approved.
- Current insurance approach
- Self-drive hire cover is provided under our fleet insurance policy, subject to driver eligibility and insurer approval. Renters may separately buy optional excess reimbursement cover from an independent provider, which is their own arrangement.
Mileage allowance
Each vehicle has a monthly mileage allowance. The allowance is displayed on the vehicle listing and vehicle detail page.
Mileage above the agreed allowance may result in an additional charge.
- Included mileage
- 2,000 miles a month as standard. The allowance for your vehicle is shown on its listing and detail page.
- Excess mileage rate
- 20p a mile over your allowance.
- How mileage is recorded
- We record the odometer reading when you collect the vehicle and again when you return it. The difference between the two is your mileage for the term.
- Unused mileage
- If you extend, unused mileage carries over into the new term. It is not refunded at the end of a rental.
Permitted vehicle use
The vehicle may only be used for purposes declared during the application and approved in the rental agreement.
Examples may include:
- Personal use
- Commuting
- Approved business use
Our vehicles are not available for private hire, taxi or any other hire or reward use. Our insurance does not cover it, and using a vehicle that way would leave you uninsured as well as in breach of the rental agreement.
The vehicle must not be:
- Driven by an unapproved driver
- Used for an undeclared purpose
- Sub-rented or lent to another person
- Taken outside the permitted geographical area
- Used in breach of the rental agreement or insurance conditions
- Permitted geographical area
- Vehicles are for use in the United Kingdom. Taking a vehicle outside the United Kingdom needs our agreement in advance, and depends on the insurance extending to it.
Application and approval
- 01
Submit the initial application
Provide the intended rental dates, vehicle use, driving history and contact details.
- 02
Manual review
The application and current vehicle availability will be reviewed.
- 03
Documents and insurance checks
Suitable applicants may be asked for their driving licence, DVLA share code, proof of identity, proof of address and any insurance information required.
- 04
Rental agreement and payment
Approved applicants receive the rental agreement and confirmed payment instructions.
- 05
Collection
Collection is arranged after the agreement has been completed, the required payment has cleared and the insurance arrangement has been approved.
Submitting an application does not guarantee approval or reserve a vehicle.
Collection and return
The collection date, time and location will be agreed after approval.
At collection, the vehicle condition, mileage, fuel or charge level and supplied items should be recorded.
When returning the vehicle, the renter must follow the agreed return instructions and return all supplied keys, documents and equipment.
- Collection location
- We agree a time and place with you once your application is approved and payment has cleared. We can meet you or deliver the vehicle to you.
- Collection hours
- Any time we agree with you. We are not restricted to office hours for collections and returns.
- Return location
- We agree a time and place with you before the end of your term. We can meet you or collect the vehicle from you.
- Return notice
- None needed, and no charge for telling us. The vehicle is due back at the end of your one-month term unless an extension has been agreed. Returning it late is charged at £50.
- Fuel or charging on return
- Vehicles are supplied with a full tank and should be returned with a full tank. If a vehicle comes back short, we charge the cost of refuelling it and take that from your deposit.
- Late return
- Returning the vehicle after the end of your term is charged at £50. Tell us as early as you can if you are going to be late, and we will extend the rental instead where the vehicle is available.
- Cleaning
- £110 where the vehicle is returned needing cleaning beyond reasonable use. Charged on the evidence of the return photographs, not on impression.
- Fines, tolls and notices
- £5 for each penalty charge, toll or fine we have to deal with, on top of the charge itself. You must tell us who was driving within 7 days of us asking, and your responsibility continues after the rental has ended and your deposit has been returned, because notices often arrive months later. Nothing is charged where the notice turns out not to relate to your rental.
- Recording vehicle condition
- We photograph the vehicle at collection and send the photographs to you at the time, so you have your own copy of its condition. You also sign a handover sheet recording the condition, mileage and fuel level. We photograph it again on return and compare the two.
Fines, tolls and other charges
The renter is responsible for charges resulting from their use or possession of the vehicle during the rental period, including applicable:
- Parking charges
- Penalty notices
- Road tolls
- Congestion charges
- Clean air or emissions-zone charges
- Traffic or licensing penalties
Where a notice is received after the vehicle has been returned, the relevant amount may be deducted from the security deposit or requested separately under the rental agreement.
- Notice administration fee
- None. We do not charge for giving notice, ending your rental at the end of its term, or arranging an extension.
Extending or ending your rental
Contact us before the current rental period ends if you want to extend or return the vehicle.
Extensions are subject to:
- Approval
- Vehicle availability
- Payment history
- Continued insurance eligibility
- Payment for the next rental period
- Extension notice
- At least 24 hours before the end of your current term. Extensions depend on the vehicle being available and are not guaranteed, so tell us as early as you can if you expect to keep the car.
- Return notice
- None needed, and no charge for telling us. The vehicle is due back at the end of your one-month term unless an extension has been agreed. Returning it late is charged at £50.
- Early return
- You can return the vehicle before the end of your term, but the rental you have paid for that term is not refunded, in whole or in part. Your deposit is separate and is returned as normal once the vehicle has been checked.
- Overdue rental
- Returning the vehicle after the end of your term is charged at £50. Tell us as early as you can if you are going to be late, and we will extend the rental instead where the vehicle is available.
- Cancellation before collection
- If you cancel after paying but before collecting the vehicle, we keep £50 to cover the checks and administration already carried out. We take it from your deposit and return the balance, and we tell you in writing what has been deducted. Nothing is charged where you cancel because the vehicle is not as described, is not available, or is not of satisfactory quality.
Before you apply
- Review the price, deposit and mileage shown for the vehicle
- Declare the intended vehicle use accurately
- Wait for approval before sending payment
- Do not drive the vehicle until the insurance arrangement is active
- Read the complete rental agreement before signing
